JOB DESCRIPTION

Job Title: Contracts & Compliance Administrator
Reporting to: Commercial Lawyer
Effective date: December 2009
Department: Finance
Location: Sunbury-on-Thames
Working hours: 40 hours per week
8.30am - 5.30pm
Position Summary: Responsibility for accurately producing and effectively administering Kingston’s commercial contracts with its customers. Responding to compliance related matters. Co-ordinating Kingston’s anti-counterfeit strategy and compliance with data protection regulations.
Essential Functions:
  1. Administration of customer contracts from inception to signature
  2. Management of contract negotiation process including (where necessary) referring complex legal/commercial issues to line manager/VP Sales & Marketing
  3. Maintenance of contracts database
  4. Responding to compliance related enquiries including issuing statements of compliance where necessary
  5. Managing anti-counterfeit strategy including liaising with external providers of anti-counterfeit services, completing documentation required to file notices of trade mark infringement and where appropriate providing customers with documentation required to take action against suppliers of counterfeit products
  6. Managing compliance with data protection regulations
  7. Providing training on all contractual and compliance matters, including the contracts database, as and when required
  8. To undertake various projects / investigations as and when required.

PERSON SPECIFICATION
Minimum Criteria Desirable
Education /
Qualifications:
Good standard of GCSE education (or equivalent) A level educated (or equivalent)
Experience /
Knowledge:
Computer literate with a good working knowledge of Word, Excel and e-mail.

2 years administration experience
Experience of contract administration
Skills /
Behaviours:
Excellent written English. Aptitude for detailed administrative work. Good organisational skills, ability to liaise with a range of people, ability to research and grasp complex issues, ability to act on own initiative.

Proactive, flexible, diplomatic and the ability to work on own initiative as well as cooperate in a team environment is essential.
