Job Details - HR Representative - Fountain Valley, CA

The HR Representative will serve as a key member of the HR Operations Team, supporting a variety of HR functions in a fast-paced and hands-on HR department. Reporting to the Supervisor of HR Operations, the HR Representative role will focus on a mixture of administrative work, customer service, projects, research and creative problem solving. The ideal candidate is flexible and equally comfortable with virtual remote work as they are with in person on site work, is resourceful, discrete, organized, and detail oriented. This role provides administrative support to the human resource function as needed including record-keeping, file maintenance and HRIS entry.


ESSENTIAL FUNCTIONS:
  • Provides routine information to internal clients on HR processes and policies and uses appropriate judgment to route complex question/issues to appropriate resources. Follows up to ensure the issue is resolved in a timely manner.
  • Enters data into HRIS system for all employment actions and regularly audits data for accuracy.
  • Creates basic reports in HRIS and other HR related systems as requested. Conducts data analysis to drive actions and outcomes on HR related projects in support of the business functions.
  • Provides the technical support to internal customers for HR related systems.
  • Supports processes for recruiting, candidate interviews, and employee onboarding, using Success Factors and other tools.
  • Maintains functional ISO documentation for assigned HR processes, policies and technology including change documentation.
  • Writes professional reports, prepare presentations and other business correspondence.
  • Manages leave coordination and consults for FMLA, PDL, CFRA, STD, LTD, Military Leave, Bereavement, Jury Duty, etc.
  • Coordinates and schedules events in conjunction with HR programs and initiatives such as training and informational meetings.
  • Responds to requests for employment verification, UI claims, or worker’s comp claims.
  • Conducts research and present findings to ensure Kingston remains in compliance with all regulations and laws.
  • Participates in HR and cross functional projects as assigned.
  • Performs clerical functions as needed.

QUALIFICATIONS GUIDELINES
Education/Training/Experience:
Required:
  • 3 years of experience in Human Resources with a working understanding of Human Resource principles, practices and procedures.
  • Hands on experience with HRIS like Success Factors.
  • Proficient in Microsoft Office (ex. Excel, Word, Outlook, PowerPoint).
Desirable:
  • Knowledge and experience working with Success Factors.
  • Experience working onsite within a medium to large sized organization.
  • Bilingual Spanish preferred
Knowledge:
  • Bachelor's degree in human resources or related field and/or equivalent experience.
  • Solid understanding of labor legislation (COBRA, FMLA/CFRA, Worker’s Compensation) and payroll process.
Skills/Abilities:
  • Strict attention to detail and accuracy.
  • Ability to maintain confidentiality and process sensitive information with discretion and integrity.
  • Critical thinking skills, and ability to proactively research and trouble shoot when obstacles arise.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent verbal and written communication skills
Special Requirements:
  • PHR certification desirable.
